The Swedish National Maritime Museums collect and process different types of personal data. In the following, we explain what personal data we collect, the reasons behind the collection of the data, what legal basis we have and how long the data is stored for.

Informing of our activities

In order for us to fulfil our mission to provide information regarding the agency’s activities, we process data concerning names, professional titles, images and, where applicable, contact details for employees and invited speakers, as well as other external parties. In conjunction with providing information about various types of events, we also process images of the audience to some extent as well as audio and video recordings. The information is published on the agency’s websites and in social media. In cases where we document activities involving children up to 18 years of age, this is only with the legal guardian’s consent as a legal basis. The data will be stored until the information is no longer relevant or needed, unless otherwise prescribed in the Archive Act or the Public Access to Information and Secrecy Act.

Making our collections available

In order for us to fulfil our mission to list, scientifically process and make our collections available, we process data concerning object’s ownership history, provenance (name of previous owner and date of birth) and, to some extent, personal images in the agency’s photo collections. Pictures and information about objects available in the Digital Museum. The data is preserved as part of the national cultural heritage.

Managing government grant applications

In order for us to fulfil our mission to manage government grant applications for the National Swedish Museums of Military History and historically valuable ships, we process data concerning the applicant’s name, contact details and company registration number/national registration number (if applicable). The data is stored in accordance with the Archive Act and the Public Access to Information and Secrecy Act.

Managing educational activities, tours and programs

In order to fulfil our mission of imparting knowledge within our field of activity (through educational activity, guided tours and programs), we process data concerning names and contact details, as well as any data you choose to disclose, for example, with regard to allergies and health conditions. In cases where invoicing occurs, the company registration number/national registration number and invoicing address are also processed. The data is stored until the activity is completed or as long as it is required for administrative purposes. The data that appears on invoices is stored for at least 10 years.

Managing invitations and participation in seminars, courses and events

In order to fulfil our mission of imparting knowledge within our field of activity and for general interest (through pedagogical activity, guided tours and programs), we process data concerning your name and contact details, as well as any data you choose to disclose, for example, with regard to allergies and health conditions. In cases where invoicing occurs, the company registration number/national registration number and invoicing address are also processed. The data is stored until the activity is completed or as long as it is required for administrative purposes. The data that appears on invoices is stored for at least 10 years.

Managing inquiries and service cases

In order to fulfil our mission and to answer questions about our business, handle service cases and inquiries, we process data concerning names, contact details and your correspondence for the person inquiring (via telephone, e-mail, comment form or through digital channels, including social media). The data is stored until the case has been closed. If the nature of the enquiry is such that it is entered into the agency’s register, the data will be retained in accordance with the Archive Act and the Public Access to Information and Secrecy Act.

Information by mailing

We process the recipient’s name and e-mail address for the purpose of sending out newsletters and press releases. This processing requires the recipient’s consent and this consent may be revoked at any time. The data is stored until the recipient no longer wishes to receive the mailings, or the information is no longer current or necessary.

Information for specific stakeholders

To be able to provide information regarding our activities to specific stakeholders and which are covered by, for example, the agency’s networking. we process data concerning names and contact details. This processing requires the recipient’s consent and this consent may be revoked at any time. The data is stored until the recipient no longer wishes to receive the mailings, or the information is no longer current or necessary.

Purchase of goods and services

To be able to fulfil agreements when ordering and purchasing vouchers, e-tickets, publications and goods from the museum gift shops, we process information concerning your name, contact details and purchase information. The data is stored until the purchase has been completed, including payment and delivery. Thereafter, it is stored with the aim of dealing with any complaints or guarantee claims. The data that appears on invoices is stored for at least 10 years.

Managing the booking of premises

In order for us to fulfil agreements regarding the rental of premises, we process data concerning your name, contact details, company registration number/national registration number and invoicing address of the person booking. The data is stored until the service is completed with the exception of data that appears on invoices, which is stored for at least 10 years.

Staff recruitment

In order for us to fill vacancies and fulfil our mission, we process data concerning the applicant’s name, contact details, CV and personal letter, national registration number and, where appropriate, image. The data is stored for at least two years after the decision regarding employment has become final. With candidates’ consent, the data will be retained for up to a year for possible matching with other roles.

Procurement

In order to fulfil our legal obligation and to receive tender for the procurement of goods and services, we process data concerning your name, national registration number, contact details, where applicable, photos and diplomas/grades, licenses, certificates and CVs. Personal data concerning the winning supplier will be used/processed at least during the four years of the framework agreement. The personal data will be retained until a judgement has been passed following a possible review. In the event of a review, the agency will need to have access to all data which is created during the procurement process. The data is stored in accordance with the Archive Act and the Public Access to Information and Secrecy Act.
